we would like to inform you that, in light of the feedback received regarding the introduction of mandatory pre-notification for vehicles handling the drop-off and pick-up of empty containers, Baltic Hub has decided to postpone the implementation originally scheduled for 4 October 2025.

 

A revised implementation date will be communicated following additional consultations, which will take place in the coming days and weeks.

Changes in handling of empty containers at VBS

Dear Sir or Madam,

On October 4, 2025, changes will be introduced to the process of handling empty containers in the VBS system.

From that date, vehicles delivering or collecting empty containers will be required to register in advance in the VBS system.

The inclusion of empty containers in the VBS system will allow for better forecasting of the number of vehicles and will improve the organization of work at the Baltic Hub terminal, which will translate into greater efficiency in the handling of trucks.

Until now, operations with empty containers were not subject to notification, which resulted in their unplanned and uncontrolled arrival at the terminal.

What will the process for transactions with empty containers alone look like?

The VBS system will provide a separate pool of slots (“EMPTY”) for the notification of vehicles handling only empty containers.

What will the handling of mixed transactions look like?

In the case of mixed transactions (i.e., unloading an empty container and loading a full one), the system will automatically provide a standard pool of slots (“STANDARD”).

What is the role of the shipping line in this process?

The delivery of empty containers will require the shipowner to make a notification in the Navis system. The shipowner will choose between the following two options:

  • Notification by container number, where all container data will be completed by the shipowner (as in the case of an export container)

    or

  • Notification to the ERO number, where the shipowner will create a reference order number based solely on the type/size of the container. Details such as the container number or ISO type will be assigned by the OCR system and confirmed by the driver at the first self-service kiosk.

PICKING UP empty containers will require the shipowner to make a notification in the Navis system, i.e., as before, to create an EDO or Booking. After the shipping line has created a notification in the Navis system, it will be possible for the driver/carrier to make a notification in the VBS system.

Have you lost or forgotten your driver card from the Baltic Hub terminal?

Don't worry, you don't have to get a duplicate, which you have to pay for!

In the e.Brama mobile app, you have access to your free driver card.

How does it work?

1. Log in to the e.Brama app

If you don't remember your login or password, contact our e.Brama Call Center at +48 58 737 79 33 or email e-brama@baltichub.com.

2. Select the “DRIVER CARD” tile

3. Scan the generated QR code at the Self Service kiosk

REMEMBER!

A new QR code must be generated at each kiosk, all you have to do is click refresh

the cards are not interchangeable, if you started your entry by scanning the card in the QR code, then use the card in the QR code at each subsequent kiosk as well

Want to speed up your entry to the terminal?

Nothing could be simpler – at the first Self-Service kiosk, use the QR code for Truck Visit Appointment (TVA), which is available in your e.Brama!

How does it work?

1. Make the TVA in accordance with the order you received.

2. Arrive at the time you specified in your TVA.

3. Scan your standard driver card or QR code card at the first self-service kiosk.

4. At the kiosk, select “Yes, I have TVA in e.Brama.”

5. After logging into the application, select the “QR notification” tile

If you have one active TVA in a given time slot, the appropriate QR code will appear automatically after selecting this function.

6. If there are several active TVA for a given time, select the one you want to complete at that moment from the list

7. Confirm your selection with the “Generate QR code for the selected TVA” button

8. Scan the generated QR code.

VBS is a tool dedicated to drivers, transport companies and forwarders.

VBS allows planning visits to Baltic Hub in order to optimize them for all parties and improve the logistics chain.

In order to plan visits to Baltic Hub do not forget to register in VBS system.

Make sure you are registered in the VBS. Without registration, you will not be able to use the system and therefore will not be able to pledge a vehicle to pick up or deposit a container!
